Admin Assistant (Finance Dept)

Job description

Finance & Operations:

  • Process invoices on SAP Concur, including data entry, image uploads, and cost allocation. Coordinate approvals, track payments, and maintain the Invoice Log.
  • Manage staff eClaims (cash and corporate card), including filing, generating XML files, and instructing the Processing Team for payments.
  • Set up new bank accounts for employees in ESS, maintain static data, and generate reports for Compliance and Finance Teams.
  • Serve as the main contact for external vendors, handle queries, set up new vendors, arrange refunds, and liaise with banks on transactions.
  • Manage TP onboarding/offboarding for procurement tasks, including KYC screening and BP creation in Avaloq.
  • Compile data for monthly claims expense and carbon emissions reports.
  • Update DPS signage maintenance per HKMA requirements.

Corporate Services Support:

  • Oversee office cleaning, daily plant watering, and quarterly carpet/water tank cleaning.
  • Greet and check in/out guests.
  • Manage conference room bookings and ensure cleanliness.
  • Answer general line phone calls.
  • Arrange courier services and handle mail.
  • Assist with event management (monthly lunches, Chinese New Year, Christmas events, etc.).
  • Support tasks related to the Finance & Operations team Head.

Qualifications / Requirements:

  • Degree in accounting or finance from a reputable university.
  • 2 years of relevant experience in Hong Kong.
  • Proficient in written and spoken English, fluent in spoken Chinese.
  • Numerically sensitive, quick learner, passionate, and flexible personality preferred.
  • Team player with a "can-do" and "willing to learn" attitude.
